HRC Conference Room Reservations

Did you know you could book our conference room? We love hosting humanities clubs, reading groups, social hours, study groups, lunch ’n’ learns, or small talks! The HRC Conference Room is located at Lovett Hall, Entrance C, Room 304 (3rd floor). Just make sure to bring your own laptop if you want to connect to our TV!

Scheduling Reservations: 

Reservation requests for events must be scheduled at a time throughout the weekday (Monday–Friday) and between work hours (9am–5pm).

Please fill out this form to reserve, but note that it does not guarantee a reservation. We will email you to confirm your reservation.


Reservation Guidelines:

  • Capacity: The HRC Conference Room has capacity for 18 people. If you expect a larger party, we recommend you look into a different space. For more on-campus options, please visit https://campusevents.rice.edu/campus-venue-reservations.

  • Advance notice: All reservation requests should be submitted at least 1 week in advance to ensure availability. Last-minute requests may not be accommodated. If you need to cancel your event, please do so in a timely manner.

  • Room setup: You are responsible for arranging the room according to your event needs. Please ensure the room is returned to its original setup after your event.

  • A/V and tech: The HRC Conference Room has a TV screen, which can be connected to a laptop via an HDMI port. We have HDMI to USB-C adaptors for loan, although we strongly recommend you use HDMI. We do not have laptops for the room, so if you want to project your screen, please make sure to bring your own laptop.

  • Duration of reservation: Please ensure that your event duration does not exceed the agreed-upon time slot, as the room may be used for other meetings shortly after your reservation.

  • Cleanliness: All event organizers are responsible for maintaining a clean and sanitary environment during and after their event. Please ensure that trash is disposed of properly, surfaces are wiped down, and any items brought in (such as food or decorations) are cleaned up. Maintaining the cleanliness of the space is essential for the comfort and safety of all users. Failure to comply will result in future ineligibility to reserve this space.

  • Priority: Priority will be given to meetings, events, and activities that align with or advance humanistic and artistic inquiry.
